How to plan a celebration on a yacht: the checklist we would use

To plan a celebration on a private yacht, settle the date and the guest count first, then send one booking request that names the occasion and asks every question at once. Food, drinks and any special touches are not part of the standard day, so ask us about them before the day. Then pack light and pay on the day in euros.

Step one: the decisions only you can make

Before you contact anyone, agree three things with yourself or with the person you are celebrating. Everything else in this checklist depends on them.

  • The occasion, and whether it is a surprise
  • The date, plus one fallback date
  • Who is coming, with children's ages; the limit is 12 guests
  • Whether anyone in the group will not swim

Step two: what goes in the booking request

The Requests field is where the occasion lives. Write it in plain words, one point per line, so the team can answer each one without a long exchange.

Mention the hotel or hotels you are staying in, because the round-trip transfer covers central Alanya districts and anywhere further out needs checking. If you are not sure what to write, our post on what to put in the request has worked examples.

Step three: the questions to ask us in the same message

Asking everything at once saves days of back and forth. These questions apply to most celebrations, and none of the answers is a standard part of the day.

  • Food and drinks: what can be arranged in advance for our date?
  • Alcohol: ask us, since nothing is on record either way
  • A cake, flowers or decorations: not part of the standard day, so ask us what is possible
  • A photographer: not included, so ask us whether one can be arranged
  • Anything you hope to bring yourself: ask first, before you buy it

Step four: the people around the plan

A careless message can spoil a celebration as easily as the weather. Decide who in your group handles contact with us, and make sure everyone else knows not to reply on their behalf.

If any part of the day is a secret, tell us who must not see our replies. The details are in our guide to keeping it a surprise, and the counting questions are in the guest list guide.

If the day is not a surprise, give the guest of honour one simple task, such as bringing their own swimwear, so they feel part of the planning and nothing has to be explained at the last minute.

Step five: the day before and the day itself

Check the pickup time the team confirmed with your booking, and share it with the whole group. Lay out the basics for each guest: sunglasses, sunscreen, a hat, swimwear and a towel.

On the day, bring the payment in euros, since nothing has been paid online. Sea and weather can still change the route on the day, so keep the plan flexible; how that works is set out in booking and weather.

One last check before you send

Read the request once as if you were the crew. Is the occasion clear, is the head count right, and have you asked about everything you are hoping for? If yes, send it from the yacht page and wait for the confirmation before telling the group the plan is fixed.

Ready to plan your day?

Choose a date and send the request — you pay on the day, never online.

More questions

How far ahead should I start planning a yacht celebration?

As early as you know the date. Fixed dates such as birthdays and anniversaries cannot move, and since cancelling costs nothing as long as it is more than 48 hours ahead, booking early carries little risk.

Who should be the contact person for the booking?

One person, ideally the one organising. If the celebration is a surprise, choose someone the guest of honour does not share a phone or an inbox with.

What should I do if the team cannot arrange something I asked for?

Decide whether the day still works without it before you confirm. The yacht, the route and the swim stops are the core of the day; anything beyond them is a bonus you agree with us in advance.
